Answer quote requests in hours, not days.

Quote requests come in as emails, PDFs and spreadsheets, each in the customer's own format. We read each request, attachments included, price the lines from your lists or your ERP and draft the quote in your format. Your team checks it and sends it.

What is it costing you?

Change the numbers to yours.

“We get about quote requests a month, worth about € each, and it takes us about days to answer.”

If answering within hours wins just more of every 20 requests,

that is€20,000more in orders every month, about €240,000 a year.

Each of the 40 is read and priced within hours instead of 3 days.

Your numbers, plain arithmetic: requests, times the extra share you win, times their value. Across 1.25 million sales enquiries, companies that replied within an hour were nearly seven times likelier to reach a decision maker than those that replied even an hour later (Harvard Business Review, 2011). We assume far less: 2 more wins in 20.

How it runs

  1. We pick up every request

From your shared inbox and the form on your website, whoever it was sent to.

  2. We read it the way your team would

Items, quantities, delivery dates and the customer's own part numbers, from the email and its PDFs and spreadsheets. Anything unclear is marked for your team.

  3. We price every line

Matched to your catalogue and priced from your price lists, your ERP and the customer's terms. Unknown items and special prices go to your team.

  4. We draft the quote and the reply

The quote from your template, and a reply that sounds like your team.

  5. Your team approves

The person who looks after the customer sees the quote and the reply together, changes what they want and approves. Nothing reaches the customer before that.

  6. It goes out and is recorded

From your mailbox, with the quote recorded against the customer, ready for the follow-up.

Questions

Can it read the PDFs and spreadsheets our customers send?

Usually, yes: PDFs, Excel and CSV files, and requests written in the email itself, including tables that run over several pages. If your customers often send scans or photos, we try those on your examples before you decide anything.

What about customer-specific prices and discounts?

They are part of the price rules we set up from your lists and terms. When a line needs a decision those rules don't cover, such as a special price, the quote marks it for your team.

Does it work with our ERP?

Most likely. Connecting your ERP is part of the setup: prices and stock come straight from it, and with your approval the quote is recorded there too. We confirm how on the call.

Who sends the quote to the customer?

Your team does, from your own mailbox, once they approve it. Your customers deal with you as they always have, only faster.
